I · After submission
Ten thousand form submissions can hide thousands of unfinished files.
Count what happens after submission. The team needs to know who sent the expected records, how long a missing item has remained open, how many times staff touched a lead, and what lawyers had to correct.
A dashboard full of new names says little about the stack of files still waiting for records or review.
II · Rules for the campaign
Keep the approved criteria with the questions and evidence rules.
The case type sets the questions, expected documents, deadline inputs, facts to pull from the records, and exceptions that need review. Save the approved criteria version with every intake record so someone reviewing it later can see which rules applied when the claimant answered.
"Unknown" and unanswered need separate states. A blank exposure date may call for follow-up. A claimant who says the date is unknown may need a record request or an authorized review. Storing both as an empty field erases that difference.

Name the evidence for each criterion, the optional records, and any missing item that blocks review.

Attach each fact to its answer, call, or document page, and keep the reason for any material correction.

Send missing evidence, conflicting values, duplicate identities, and unusual records to a named reviewer queue.
III · From queue to matter
An approved lead should carry its history into the case.
Across a large group of leads, OBE can send the configured document requests, sort incoming records, propose case-specific facts, and keep follow-up work in view. Staff inspect uncertain files. Lawyers set the case standards and decide what the evidence means.
After authorized staff approve a matter, its answers, sources, evidence status, corrections, consent record, review history, and open tasks move forward. A disconnected handoff makes the case team rebuild the campaign record and leaves a weaker source trail.
IV · Before pricing a campaign
Staffing and volume commitments need their own written scope.
Managed OBE starts at $899 per month, plus $700 to configure the case type. The agreement must separately define and price campaign support, integrations, staffing, storage, processing volume, and response-time commitments.
