Inquiry-to-matter workflow

Legal intake services that prepare a file for lawyer review.

A lead may look complete in the CRM while the important date is buried in an attachment and the promised document appears only in a call note. OBE keeps those pieces on the same record, shows the team what is missing, and assigns follow-up to a named person.

01

The whole inquiry stays together

Forms, uploads, imports, messages, and interview notes all belong to the same lead.

02

Each important fact has a source

A reviewer can open the record or staff correction behind a date, name, or amount.

03

Missing work has an owner

Records and proposed facts stay in a review queue until authorized staff address them.

I · Before launch

Your team tells us what belongs in a reviewable file.

Your team names the questions, expected records, and warning signs that call for another look. We identify who follows up, where uncertain information waits, and which approvals a lead needs before it can become a matter.

01

Public form and client portal

Prospects can pause and return to branded questions, uploads, consent, and clear checkpoints.

02

The daily lead work

Staff see tasks, communications, notes, lead status, and the records they still need.

03

Evidence ready for checking

OBE classifies documents and proposes source-linked facts for staff to confirm or correct.

04

Opening the matter

When the firm approves a matter, its documents, people, tasks, and review history come with it.

II · The document work

A lawyer should not have to reopen every PDF to find one date.

OBE classifies and reads uploaded records, creates structured Markdown and JSON sidecars, and proposes the case-specific facts your team has configured. Each proposal keeps its source-page link, so the reviewer can open the relevant passage directly.

When two records disagree, both values stay visible until an authorized reviewer resolves the conflict. A correction also keeps its history, including the value that appeared before it.

III · After the call

Give the team something useful when a long interview ends.

From an existing recording, OBE can create speaker-aware Markdown and a structured report covering the chronology, people, issues, evidence gaps, follow-up questions, topics, sentiment, action items, and decisions discussed.

The analysis may also suggest answers to open intake questions. Each answer waits for a staff member to confirm it before anything is written back to the lead.

OBE processes existing recordings. Live reception, after-hours coverage, bilingual staff, and 24/7 answering require a separately scoped staffed service.

IV · The firm's decision

Acceptance and legal judgment stay with the firm.

OBE organizes the information, finds gaps, and prepares the file for review. Your firm controls conflicts, qualification, engagement, legal analysis, filing, and every piece of client advice.

Questions firms ask

What teams want to know before changing their intake process.

01What are legal intake services?

Legal intake services collect a prospect's answers and records, track missing items, and prepare the file for review. If authorized staff approve the lead, its record can move into case work.

02How do documents become intake data?

OBE reads an upload and proposes the facts configured for its case type. The proposal keeps a link to its source. Uncertain or conflicting information goes to an authorized reviewer.

03Can OBE process recorded intake interviews?

Yes. From an existing recording, OBE can create a speaker-aware Markdown transcript and structured analysis. Any proposed intake facts wait for staff confirmation.

04What does the service cost?

Managed OBE costs $899 per month, plus a one-time $700 setup charge for each case type. We quote custom work separately.

Legal intake library

Find the part of intake your team is fixing.

These guides cover what happens after a new inquiry arrives: follow-up, staffing, documents, recorded calls, software, and campaign volume.

Tim Ottowitz, Founder and CEO, OBE, checks these pages for product and operations accuracy. His review is not legal advice or a review by counsel in any jurisdiction. ArbitrationIntel and OBE publish software and operations information. Each firm sets its own policies for conflicts, acceptance, engagement, qualification, and filing, including which operational steps authorized staff may handle. Lawyers remain responsible for legal judgment, analysis, strategy, and client advice. Product terms and operating limits are set by the signed agreement.

Bring a case type your team knows well, plus the questions, documents, handoffs, and exceptions that make it hard to run. We'll trace it with you and show where OBE can cut duplicate entry, flag missing information, and keep each fact tied to its source.
