how obe turns legal intake into a clean data pipelineHow OBE Turns Legal Intake into a Clean Data Pipeline
How our legal CRM pulls facts from messy documents, keeps paralegals from stepping on each other's toes, and gives attorneys a reliable, clean dashboard without administrative burnout.
In our previous piece examining Bennett Legal's programmatic intake system, we looked at how OBE captures leads directly on your firm's website. Here is what happens next: how our legal CRM pulls facts from messy documents, keeps paralegals from stepping on each other's toes, and gives attorneys a reliable, clean dashboard to evaluate cases without drowning in administrative work.
1. Stop Losing Leads to Long Forms
Most intake forms ask for everything up front. Claimants get overwhelmed, close the tab, and vanish.
OBE handles this differently. Every submission begins at Stage 1: New. The moment a claimant completes the first step, even if it is just a name and phone number, their record is logged. If they abandon the form halfway through, their partial file remains in your system, ready for follow-up.
From there, OBE triggers an automated abandoned-intake sequence:
- Three targeted reminders sent via the claimant's preferred channel (SMS or email) over a two-week window.
- A single, persistent link that returns them to the exact field where they stopped, with all prior answers saved.
- Filterable follow-up views so intake staff can see anyone who went cold and dial them directly.
Once the claimant completes every initial milestone, the system advances them automatically to Detailed Intake.
2. Document Gathering Without the Chase
Detailed Intake is where legal operations typically stall. Paralegals spend hours emailing back and forth, begging for PDF attachments, and manually organizing folders. We interviewed 34 law firms to pinpoint what burns intake teams out: manual data entry and disorganized document gathering topped the list.
OBE automates that workflow.
When a client uploads a document, OBE runs it through an extraction pipeline trained on that specific document type. It extracts key case facts automatically, structuring the information so your team never has to re-type a loan balance, dates of service, or contractual clause again.

3. The Entity Engine: Solving the LLM "Recency Bias"
Training a custom pipeline takes minutes. You provide a checklist of required documents per case type and 10 to 15 sample files. We can train the pipeline for you, or your team can create one directly in the interface.
Once trained, the pipeline extracts every variable into a clean JSON structure bound permanently to the source document.
This brings up a major technical problem with off-the-shelf AI tools: facts conflict.
Example: A solar arbitration case involves a signed contract, text messages, and a recorded intake interview. The contract lists the loan balance as $42,500. During the phone interview, the claimant casually estimates it at "$40,000."
Standard language models suffer from recency bias: if you dump every file into a folder in ChatGPT, the model will often trust the latest spoken mention over the signed legal document.
OBE prevents this with a rule-based Entity Engine. The engine assigns strict hierarchies of truth. For financial figures, the signed contract outranks an interview transcript every time. The result is verified, deterministic data instead of AI hallucinations.
Extracted entities populate an organized Factframe on a single screen. In consumer arbitration intake, such as our work with Bennett Legal's solar fraud practice, OBE maps up to 40 distinct case facts into one clean overview. Missing documents appear in an active checklist, showing your staff precisely what to request next.
4. Clear Lanes for the Entire Team
Handoffs inside law firms are notoriously messy. OBE organizes work into sequential stages with assigned responsibilities:
- Intake Workers: Manage the "New" and "Intake" stages. They run document-gathering checklists and host follow-up calls through integrated Google Meet links. Audio is recorded, transcribed automatically, and mapped to the case file.
- The Decision Screen: Once all documents are collected, the system presents the verified case facts alongside potential statutory claims. The case manager has two clear buttons: Accept or Decline.
- Decline: Triggers an automated, branded notification explaining the decision with courtesy and finality.
- Accept: Advances the case. If your firm requires prepayment of arbitration filing fees (such as AAA or JAMS fees), the system holds the file here until payment clears.
- Attorneys & Paralegals: The attorney reviews the file. With one click, they can kick the case back with specific notes for the intake team, or approve it. Approving instantly generates an engagement agreement populated with all case variables, applies the attorney's signature, and emails an access link to the client portal. The claimant opens the link and signs immediately on their phone.
5. You Own Your Data (MCP Sandboxes and Full Exports)
Legal platforms often hold firm data hostage behind rigid interfaces. OBE is built as an open data layer:
- Complete ZIP Export: At any point, download an entire case as a self-contained ZIP archive. It includes all raw documents, an indexed case map, and a PDF summary of all extracted facts. Take it to court, back it up on your hard drive, or upload it to legacy software.
- MCP Sandboxed Access: We equip every firm with a Model Context Protocol (MCP) server. This gives your technical team secure, non-destructive access to your case files and structured JSON data from any modern AI tool, including Claude Cowork, custom terminal scripts, or local models.
Your data belongs to your firm, stored in open standards, ready for wherever your workflow moves next.
