Bennett Legal's software and data extraction comparison came to $87,000 a year. Staff still had to enter the same facts twice.
Bennett Legal's annual comparison was $44,000 for Filevine, $21,000 for Moxo, and $22,000 for data extraction pipelines, totaling $87,000. Staff and lawyer time were separate. A prospective client could answer the firm's questions, upload records, and speak with staff. If Bennett Legal accepted the matter, parts of that work still had to be typed into the case system again. One disputed number could send a lawyer back through the agreement, the call notes, and whoever last edited the intake field. Tim Ottowitz and trial lawyer Charles Bennett used one kind of solar dispute to test a different handoff. They began with the file a lawyer needs for review, then traced each item in that file back to intake.
- One kind of solar dispute
- Original PDFs remain unchanged
- Lawyers keep every legal decision
Accepting a lead meant entering its data again.
OBE-CS-0001Intake lived in Moxo, while Filevine held the case work. A client might answer the firm's questions, upload the loan agreement, and talk through the facts with staff. After acceptance, someone still had to rebuild parts of that record from forms, notes, and attachments.
A payment figure exposed the gap. Checking it could mean reopening the agreement, searching the call summary, and finding out who changed the intake field. Bennett Legal wanted the answer, its source page, and the latest correction together.
Bennett Legal's annual comparison totaled $87,000. Staff and lawyer time were separate.
OBE-CS-0002| Filevine | Case management subscription | $44,000 |
|---|---|---|
| Moxo | Intake and client workflow subscription | $21,000 |
| Data extraction pipelines | Document data extraction | $22,000 |
| Annual total | Software and data extraction | $87,000 |
The comparison excluded staff time spent retyping facts and lawyers' time spent checking work already done.
They started with the file a lawyer needs.
OBE-CS-0003The team wrote down everything a lawyer opened during review: the client's account, signed agreements, dates, payment figures, people, missing records, and source pages.
That list became the intake questions. OBE parsed each uploaded record once and sent uncertain dates to staff for review. If Bennett Legal accepted the lead, its intake record went with it.
They worked through one solar dispute from start to finish.
OBE-CS-0004- 01
Pick one kind of solar dispute
Bennett Legal followed one repeatable matter type from first contact through lawyer review. That showed the team which questions, records, and checkpoints OBE needed.
- 02
Write down what the lawyer needs
The team listed the client story, signed agreements, dates, payment figures, people, missing records, and any question that could stop the matter.
- 03
Keep the source beside the fact
The original PDF stays intact. OBE keeps the parsed text, proposed facts, and page references beside it, so the reviewer can check the work without hunting through folders.
- 04
Carry intake into the case
Once a lead is accepted, its answers, documents, corrections, and review history move into the matter. Staff begin with the record intake already assembled.

OBE-CS-0005Once accepted, the intake record opened as the case.

| Annual software and extraction | $44,000 for Filevine, $21,000 for Moxo, and $22,000 for data extraction pipelines, totaling $87,000. Staff and lawyer time were separate. | The record keeps those published figures and exclusions together |
| Lead-to-case handoff | Staff copy an approved lead from one product to the other | The approved intake record opens as the new matter |
| Document review | A lawyer reopens PDFs and pieces the context back together | Each proposed fact points back to its source page |
| Change control | Questions and review steps live in separate products | The matter setup keeps its questions and review points together |

Why Tim and Charles started OBE
Tim Ottowitz and trial lawyer Charles Bennett started this work after watching Bennett Legal staff re-enter intake answers and retrace evidence across systems.
Limits of this account
This page describes the workflow that led to OBE. It reports no legal result and promises no savings or case outcome.

Bring a matter type your staff knows well, along with the forms, records, and corrections they handle today. We will follow one lead through lawyer review and mark every place someone has to retype a fact, hunt for a source, or wait for a missing document.
